SeniorOps ("SeniorOps," "the Service") is operated by Qaswa Technology ("we," "us," or "our"). This Privacy Policy explains how we collect, use, and protect information when you use SeniorOps at seniorops.qaswatechnology.com and its associated application. By using the Service, you agree to the practices described here.

Health information (PHI) is handled separately. SeniorOps is designed for use by senior-living operators and may process protected health information (PHI). When we process PHI on behalf of a customer, we act as a Business Associate under the Health Insurance Portability and Accountability Act (HIPAA), and that processing is governed by HIPAA and the signed Business Associate Agreement (BAA) between us and the customer — not by this Privacy Policy. Until a BAA is in place, the Service is used only with de-identified or synthetic data. Under the Nebraska Data Privacy Act (NDPA), HIPAA-regulated entities and PHI are exempt; this policy governs the limited non-PHI information described below.

We use the information we collect to: provide, operate, and secure the Service; maintain an audit trail; respond to support requests; monitor and improve performance and reliability; and comply with legal obligations. We do not sell personal information, and we do not engage in targeted advertising or in profiling that produces legal or similarly significant effects.

3. Artificial intelligence

When you use AI features (clinical narrative summaries), the relevant report content is sent to Microsoft Azure OpenAI for processing. This processing occurs within the Microsoft Azure boundary; under Microsoft's Azure OpenAI Service terms, prompt and completion data is not used to train foundation models. AI output is decision-support only and is reviewed by your staff. We do not use customer content to train our own models. PHI is sent to AI features only under a signed BAA with the PHI gate enabled.

4. Data security

Your data is stored on Microsoft Azure infrastructure in the United States. We apply industry-standard safeguards including encrypted connections (TLS/HTTPS), encryption of stored data, tenant isolation, role-based access controls, and audit logging. Consistent with Nebraska law (Neb. Rev. Stat. § 87-808), we maintain reasonable security procedures appropriate to the nature and sensitivity of the information we hold and to the size of our business, including safeguards applied to the secure disposal of personal information. No method of transmission or storage is completely secure; please keep your sign-in credentials confidential.

6. Data retention

We retain account, customer content, and audit data for as long as your account is active and as needed to provide the Service. On account closure we retain data for 90 days to allow export, after which it is deleted, except where longer retention is required by law or by the BAA. You may request earlier deletion by contacting us. PHI retention and return/destruction are governed by the BAA.

7. Your privacy rights

The Nebraska Data Privacy Act generally applies to the personal data of consumers acting in an individual or household capacity and excludes individuals acting in a commercial or employment context; most SeniorOps users are business users and fall outside that scope. PHI is governed by HIPAA and the BAA. To the extent applicable law gives you rights over your personal information, you may:

8. Children's privacy

SeniorOps is a business tool and is not directed to children under 13, and we do not knowingly collect their personal information.

9. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be indicated by updating the "Last updated" date and, where appropriate, by additional notice. Your continued use of the Service after changes take effect constitutes acceptance.
